Privacy Policy

RespondersAI LLC is a limited liability company organized under the laws of the State of New York. This Privacy Policy describes how RespondersAI LLC handles information in its mobile applications, including EMS Drug Reference and EMS Protocol Reference (collectively, the "Apps"), and on the RespondersAI website located at respondersai.com (the "Site").

Do not enter patient information into a medication lookup: The Apps are not HIPAA-compliant tools. Do not enter, photograph, or otherwise input any protected health information (PHI) or personally identifiable information (PII), including patient names, dates of birth, or medical record numbers, into a medication lookup query, which may be transmitted to a third-party AI provider for processing. This prohibition does not extend to the ID/Insurance Card feature in EMS Drug Reference (Pro), which is provided for the express purpose of capturing an image of a patient's ID or insurance card; images captured with that feature are stored in encrypted form on your device only, are never transmitted by RespondersAI LLC to its servers or to any AI provider, and are never analyzed. See "Saved photos (Pro)" under App-Specific Details below.

What RespondersAI LLC Collects and Stores

RespondersAI LLC may store a copy of content submitted through the Apps on its servers for the purposes of analytics and service improvement. Stored content is not associated with any user identifier; RespondersAI LLC does not link submissions to your identity, device, or account. Such content may be retained indefinitely for those purposes, and is not disclosed to third parties except through the analytics services described below. Because it carries no user identifier, RespondersAI LLC cannot determine which stored submissions originated from a particular user, and therefore cannot retrieve, correct, or delete an individual submission on request.

RespondersAI LLC does not collect personal information such as your name, email address, or location unless you contact it directly. Information you send by email is used only to respond to your inquiry. RespondersAI LLC does not sell or share personal information.

Because a copy of submitted content may be retained as described above, you must not submit PHI or PII in a medication lookup query. Although stored content is not associated with any user identifier, RespondersAI LLC cannot guarantee that content submitted by a user does not itself contain identifying details, and you are responsible for ensuring that any content you submit is free of patient-identifiable data. Images captured with the ID/Insurance Card feature in EMS Drug Reference (Pro) are not submitted to or retained by RespondersAI LLC; see "Saved photos (Pro)" below.

Analytics and App Performance

RespondersAI LLC collects anonymized, aggregated analytics data to assess how the Apps are used and to improve performance and reliability. This data is not tied to any individual user and does not include PHI, PII, or the content of your queries.

RespondersAI LLC uses the following analytics services:

Remote configuration. On launch, the App contacts a RespondersAI LLC configuration server to check for updated usage limits and feature flags. The request includes only your App version number and bundle identifier; no health data or personal information is transmitted.

Third-Party AI Providers

Some features in the Apps use third-party AI services to generate responses. When a feature relies on cloud AI, your input is transmitted to that provider for processing. RespondersAI LLC currently uses the following provider:

RespondersAI LLC may add, change, or remove AI providers from time to time. This page will be updated to reflect any material change. You should review the provider's privacy policy for the details of what it stores and for how long.

Third-party AI providers may retain your input. When a query is transmitted to a cloud AI provider, that provider may log, store, or use your input under their own privacy policy, independent of and beyond the control of RespondersAI LLC. Accordingly, you must not include PHI or PII in a medication lookup query. Images captured with the ID/Insurance Card feature in EMS Drug Reference (Pro) are not transmitted by RespondersAI LLC to any AI provider and are not analyzed; see "Saved photos (Pro)" below.

On-Device Processing

Where a feature uses on-device processing, that processing is performed entirely on your device, and the content processed in that step is not transmitted to RespondersAI LLC or to any AI provider.

Security

Content transmitted between the Apps and RespondersAI LLC or its AI providers is sent over encrypted connections. Content stored on your device is protected as described in the App-Specific Details below. No method of transmission or electronic storage is completely secure, and RespondersAI LLC does not warrant that unauthorized access to information will never occur. Should RespondersAI LLC become aware of a security incident affecting information in its possession, it will provide notice as required by applicable law.

AI Output Accuracy

AI-generated content may be incomplete, outdated, or inaccurate. All output is provided for informational reference only and must not replace your clinical judgment, your agency's protocols, or guidance from medical direction. You must verify App output against authoritative sources before acting on it.

Children's Privacy

The Apps are intended for use by trained emergency response professionals, are not directed to children, and RespondersAI LLC does not knowingly collect personal information from any person under the age of 16. If you believe that a person under the age of 16 has provided personal information to RespondersAI LLC, contact it at the address below.

Your Choices

Lookup history and any saved photos are stored on your device and may be deleted at any time from within the App that created them; saved photos are also deleted automatically according to the retention period you configure. The App-Specific Details below describe what each App stores. Device permissions, including camera, microphone, speech recognition, and Face ID or Touch ID, may be revoked at any time in iOS Settings, where local notifications may also be disabled.

Content stored on your device is within your control. Content retained on RespondersAI LLC servers for analytics and service improvement is not: for the reasons described under "What RespondersAI LLC Collects and Stores" above, it cannot be deleted on request. Information you send by email may be deleted on request by contacting RespondersAI LLC at the address below.

Governing Law

This Privacy Policy is governed by and construed in accordance with the laws of the State of New York, without regard to its conflict of law principles. Any dispute arising under or related to this Privacy Policy is subject to the dispute resolution provisions of the RespondersAI LLC Terms of Service.

Changes to This Policy

RespondersAI LLC may update this Privacy Policy from time to time. Any revision will be reflected in the "Last updated" date above. Your continued use of the Apps following a revision constitutes your acceptance of the revised policy.

App-Specific Details

EMS Drug Reference — App Store

Text lookup. When you type medication information for lookup, that input may be transmitted to a cloud AI provider and a copy may be retained on RespondersAI LLC servers as described above.

Photo lookup — on-device OCR. When you photograph a medication, the App first performs on-device OCR to extract text locally. A photographed image is only transmitted to a cloud AI provider if on-device recognition does not find a match and you expressly choose to request a secondary photo analysis; by default, photographed images are not transmitted.

PHI detection and redaction. Before any content is transmitted, the App uses automated detection to identify and attempt to redact areas that may contain PHI, such as names, dates, or identifiers. This redaction is best-effort and is not guaranteed to identify all PHI. You remain solely responsible for ensuring no patient-identifiable information is submitted.

Voice input. Voice input uses Apple's speech recognition services to convert spoken words to text. Audio is not stored by RespondersAI LLC; only the resulting text is used as query input.

Saved photos (Pro). With a Pro subscription, you may save the original photo from a medication lookup, or capture a separate reference photo (such as a license or insurance card) to attach to a lookup record. Reference photos are never analyzed or transmitted to any AI provider. All saved photos are encrypted, stored only on your device, excluded from iCloud/device backups, and automatically deleted according to the retention period you configure in the App. You may delete all saved photos at any time from within the App.

Face ID / Touch ID protection. With your permission, the App may use Face ID or Touch ID to restrict access to saved reference photos and to confirm your identity before including photos in a shared PDF export (see "Sharing a handoff summary" below). Biometric authentication is handled entirely by Apple's on-device systems; RespondersAI LLC never receives or has access to your biometric data.

Offline queue (Pro). If you start a lookup while offline, the App stores your input locally (any photo is redacted before storage) and automatically completes the lookup once your device reconnects. Queued items are removed from local storage once processed, or after a short retention window if never processed.

Sharing a handoff summary (Pro). You may export a lookup as a PDF and share it using your device's standard share options (such as Messages, Mail, or AirDrop), including saved photos if you choose. RespondersAI LLC does not itself transmit this data; sharing occurs only through the destination and method you select on your device, and its use in a manner consistent with your agency's policies is your responsibility.

Local notifications. With your permission, EMS Drug Reference may send local notifications to your device, such as shift-start reminders or prompts to return to the App. These notifications contain no medication information or patient data. You may disable notifications at any time in iOS Settings → Notifications → EMS Drug Reference.

On-device storage. Lookup history, and any photos you choose to save, are stored only on your device: history in the iOS Keychain, which provides hardware-backed encryption protected by your device passcode, Face ID, or Touch ID, and photos in encrypted local app storage. App preferences and settings are stored in standard iOS app storage. You may delete your lookup history and saved photos at any time from within the App.

EMS Protocol Reference — App Store

Voice input. Voice input uses Apple's speech recognition services to convert spoken words to text. Audio is not stored by RespondersAI LLC; only the resulting text is used as query input.

All global RespondersAI LLC policies above apply to this App. Where a feature uses cloud AI, your input is transmitted to a third-party provider and a copy may be retained as described above.
